The experience of Ateas’ consultants and architects in combination with the great features of Office 365 has started a new age in the construction business. It is characterized by the best industry practices perfected over decades and the latest and greatest technology that eases the maintenance and administration to allow Jadarhus to focus on what is essential – building high-quality and energy-efficient houses.
A common challenge in the construction industry is that documentation and drawings are not always there when you need them. In the 70s, it was common for courier trucks to drive drawings to the construction sites. Almost 50 years later, there are still some who do this. And even more common is that one discovers deviations, but that it is too late to get them registered in the systems – if they are registered at all. Document management is one of the reasons why construction projects slow down, and costs skyrocket.
Luckily a solution to this very industry-specific challenge is just around the corner, and Atea is the proud partner of Jadarhus to for once and for all change the way documentation administration is handled in the company. Jadarhus is one of the Stavanger region’s largest construction companies, with 160 employees moving from project to project. Running IT efficiently in such an organization is almost impossible without the flexibility one gets by letting document management happen through the cloud.
It simply costs too much money to share documents between offices, building sites, and various suppliers in the old way. Not only does it take time, but there is also a risk that critical information about deviations, for example, will not be captured until it has incurred costs that could initially have been avoided. The architect may have moved a door, or a window may have become smaller than it should.
The Finance and IT Manager at Jadarhus, Frode Michaelsen, was also shamefully aware of the challenges in the organization with old software and technology, that was impossible to upgrade. The risk of collapse was high, and he could either invest a lot of money to renew and expand both premises and technology – or find someone who could do it for him. He chose the latter.
Flexible solutions from Atea and Microsoft
To move the systems out into the cloud, Atea and Jadarhus established a platform in Azure. Having Azure in place, the project was ready for the next step which was to deploy Microsoft’s flagship solution – Office 365 with access to Word, Excel, Outlook as well as a much faster way to roll out business-specific applications.
The most crucial aspect for Jadarhus is access to SharePoint, which allows employees to share and have secure access to documents from anywhere without the need to send each other a lot of emails and end up with different versions of the same document.
SharePoint also allows Jadarhus to eliminate the need for a server room. What was previously on the server in the queue is now located in one of Microsofts’ or Ateas’ data centers, where backup and security is always taken care of according to current standards. Easing the tedious operations and concerns of old equipment not only removes a few tons from the shoulders of the IT Manager, but it also allows him to look forward to and develop things that the business needs.
Jadarhus and Atea have created applications based on standard tools in Office 365, that simplify the operations significantly. For
example, an employee at the construction site can use the phone to report nonconformities by taking a picture and filling in information on the go. The information is updated directly in Jadarhus’s project portal, and the Project Manager always has an overview of progress.
How to keep the solution updated
With the pace of change in both the IT and construction industries have, it was important for Jadarhus, that the new cloud platform has open standards and is not based on logic where an application solely handles one area or challenge.
The new platform allows Jadarhus to experience updates and changes in Office 365 seamlessly, as the solution is always updated by Microsoft and changes or launches of new functionalities happen with minimal use of consulting hours.
Easier administration of end-user devices
devices. Through the service DaaS (Device as a Service), which handles end-user client management, Atea now takes care of all administration and ensures Jadarhus’ infrastructure is always updated without the IT Manager having to spend time on updates, application packaging, licenses, and recycling.
-“The most important thing for us is to build energy-efficient houses of high quality. With DaaS we are very device independent because the machines are constantly updated with licenses and software. Atea ensures that they work in and out of the network in both the offices and construction sites. Previously, I spent a lot of time every day on pure IT support, but now that this has been moved to Atea I have already been given back a lot of time,” says Michaelsen. DaaS is Ateas’ managed service that manages and secures customers’ workstations providing the ultimate modern management experience. The managed service is built on Windows10 and Intune and offers customers such features as automatic computer enrollment, predefined antimalware policies, always up to date Windows 10 and Office 365, a self-service portal for applications with 40+ applications and updates and maintenance included. To top it all off, each DaaS user can enroll up to 5 of their devices. With DaaS, customers can focus on their core business instead of spending their valuable time on managing, updating, and securing their end-user devices.
Why did Jadarhus choose to work with Atea?
A good customer relationship consists of many things, but here are some that were more important to Jadarhus, like being close to technology providers. Atea works closely with Microsoft and all the other major technology giants. With a partner far up in the digital food chain, Jadarhus is well equipped to implement new solutions shortly after they enter the market. Center of operational excellence. Ateas’ thoroughly certified and optimized operating model means that everyday IT problems are seamlessly taken care of. Why try to build your own engine when you can get a Rolls Royce doing that – at a much lower price?
The business need is a top priority. As many verticals, the construction industry has specific needs, and the way Atea approaches its customers is by always putting the customers’ needs and concerns first while designing the solution around business needs instead of just selling the latest technology.
Ateas’ approach to understanding the customers’ needs and strategically planning and building the best possible environment, coupled with Microsofts’ state of the art solutions and expertise, provided an excellent combination for success and enabled Jadarhus to reap all of the benefits of a Modern Workplace.
